What is IRIS? What types of information are covered in IRIS?
Institutional Research Information System (IRIS) is a one-stop platform for faculty members to manage research-related information, comprising grants, projects, research outputs, knowledge transfer activities, prizes, and media coverage.
IRIS includes two components:
- Backend Database: A centralised system to manage and update researcher outputs and other research-related information.
- Public Portal: A platform to showcase CUHK's research excellence and achievements to the public.
What is the connection between the IRIS backend system and the Public Portal?
The Public Portal reflects information from the database and is updated automatically with any changes from the backend. Records classified as "Public" will be accessible to internal and external audiences visiting the Public Portal.
(Note: During the Soft Launch, the Public Portal will only be accessible to the CUHK community. The Public Portal will not be opened for public access until later in 2025.)
What is the implementation timeline, and when will we start using IRIS?
The soft launch of IRIS is targeted for January 2025. Important updates will be announced on various channels.
How do I access IRIS?
You will be able to log in to IRIS using your CUHK OnePass username and password following the soft launch in January 2025.

Will the current Academic Information Management System (AIMS) be replaced? How would the data in AIMS be affected?
Research Outputs
The "Research Output" Module of AIMS will be replaced by the new IRIS. All legacy research output data has been migrated from AIMS to IRIS and will be maintained in IRIS after the system soft launch in January 2025.
Grants and Projects
The “Grants” Module will be kept in AIMS. Key information on grants and projects will be mirrored from AIMS and displayed on IRIS. You will still log in to AIMS to manage your grants and project information.
Who can access IRIS?
IRIS user accounts will be automatically set up for the following groups of staff/students:
- Professoriate and Research Academic Staff (Full-time and fractional)
- Instructional Staff (Full-time and fractional)
- Emeritus Professors
- Research Staff (Full-time)
- Research Postgraduate Students (Full-time and part-time)

Who will have an IRIS public profile?
A public profile will be set up for the following groups of staff (Full-time and fractional):
- Professoriate Staff (Assistant Professor and above)
- Research Academic Staff (Research Assistant Professor and above)
- Instructional Staff (Lecturer grade and equivalent staff: e.g. Assistant Lecturer and above, Clinical Lecturer, Professional Consultant, Teaching Fellow)
- Emeritus Professors
When will the IRIS Public Portal open for public access?
There will be a sufficient period after the system soft launch in January 2025 (during which the system will only be accessible to internal CUHK users for viewing and modifying contents) for the system to get stabilised before the IRIS Public Portal is opened for public access. The project team will assess the readiness and announce the public release schedule accordingly.
I am a newly joined staff at CUHK. How can I add information to my personal profile and research outputs to IRIS?
You will be able to log in to IRIS and update your personal profile information after the system launch in January 2025. More details on user training will be announced in due course.
I am leaving CUHK. What do I need to do about my profile?
When your contract ends, your profile will automatically be hidden from the Public Portal.
I am a research staff. Can I access IRIS?
User accounts will be automatically set up for all full-time research staff, and you will be able to access IRIS using your CUHK OnePass username and password following the soft launch in January 2025.
For other members of staff, a user account will be set up on a request basis. For details, please refer to User Groups.
I am a research postgraduate student. Can I access IRIS?
User accounts will be automatically set up for Research Postgraduate Students (Full-time and part-time), and you will be able to access IRIS using your CUHK OnePass username and password following the soft launch in January 2025.
For other students, a user account will be set up on a request basis. For details, please refer to User Groups.
When will IRIS training materials and workshops be available?
Training materials and workshops will be available following the soft launch in January 2025. More details on user training will be announced in due course.
Can I select what content to display on the Public Portal?
Yes. You can control which content is publicly available by adjusting the visibility setting. For more details, please click here.
What kind of content do I need to input/update manually?
You have to input/update your Personal Profile Information, Activities, Prizes/Honours, and Research Output records that are not harvested from external databases manually. For details, please refer to Initial Data Population and Ongoing Data Collection.
I’ve updated my information in IRIS, but it’s not reflected on the Public Portal.
Updates you make in IRIS may take some time to appear on the Public Portal. Typically, your changes will be reflected within a short period depending on other updates being processed at that moment.
If my role is collaborative project leader (Co-PI) in the Project/Award, can I update the visibility of that project/award?
Kindly note that the request is required to be made by the Project Leader only or with their consent.
