Can I edit how my name is displayed on my RO records on the Public Portal?
Yes. Different publishers and online sources follow different conventions to index author names on a publication; therefore, your name may vary in different RO records imported from different sources. You may edit your name in each of your RO records, and the update can be reflected on the Public Portal. Click HERE for the user guide.
Please note that the update may take a while to reflect on the Public Portal.
Why is my name formatted incorrectly in some Research Outputs (ROs), with my first and last names reversed?
This issue arises from inconsistent data entry in the AIMS. Originally, the data was entered into a free-text field in AIMS, which led to variations in name formatting. The project team has tried its best to rectify most of the affected authors' names by referencing multiple reliable sources and databases. However, not all ROs were covered by these external sources, and thus some still could not be updated.
If you find this error in your RO, please follow the steps HERE to correct the name format.
Some migrated RO records have missing authors and incorrect author sequences. What can I do?
The authors' name problem in some RO records stems from the legacy data migration. IRIS and AIMS, the previous system, have an irreconcilable data structure for storing author names. The project team has tried its best to rectify most of the affected author lists by referencing multiple reliable sources and databases. However, not all ROs were covered by these external sources, and thus some still could not be updated. The project team is trying to update the remaining records manually while prioritizing different tasks.

Can I turn some of my RO records invisible on the Public Portal?
Yes. Although the default visibility setting of RO records is public, you can change the setting by yourself in the system. Click HERE for the user guide.
Why is my RO record unavailable on the Public Portal?
There are two main reasons.
- Time delay. It takes a while to send an update from the IRIS backend to the Public Portal.
- Workflow status and visibility option. Only validated records with the visibility setting of Public are available on the Public Portal.
Why is my name available in a RO record but not displayed on the Public Portal?
This hidden-individual-author setting applies to publications with a group author. If you want to display your name on the Public Portal, you can adjust the setting in the IRIS backend.
Under "Contributors and Affiliations" of a record with a group author, click "Hidden" next to your name, and then select
- "Show in author listing" if you want to show your name on the Public Portal.
- "Show all in author listing" if you want to show all individual authors on the Public Portal.
What research metrics are available in the IRIS backend?
Article and journal level metrics can be found in the “Metrics Tab” of a RO record.

Do I need to resubmit my AIMS RO records to IRIS?
No. The IRIS project team has migrated RO records in AIMS to IRIS. Please note that the migration included submitted and validated records because many draft records were duplicated and incomplete entries.
Where did my RO records come from?
Your RO records in IRIS are from the AIMS RO module. All AIMS RO records with a validated and submitted status were migrated to IRIS. Please note that the AIMS RO module only contained publications affiliated with the CUHK. In other words, your pre-CUHK publications would not be available in IRIS unless you entered them by yourself.
Why is the number of RO records in my IRIS account less than my Google Scholar profile or CV?
Your RO records in IRIS are migrated from your AIMS account. Please note that the AIMS RO module only contained publications affiliated with the CUHK. In other words, your pre-CUHK publications would not be available in IRIS unless you entered them by yourself.
When will my IRIS account include my pre-CUHK publications?
The IRIS project team will conduct an exercise to import your publications indexed in Scopus to your IRIS account later. If you want to do the Scopus import soon, please fill in the Contact Us e-form.
As for the publications unavailable in Scopus, you may import them from various online sources to IRIS by yourself or your delegated person.
Did the IRIS project team edit my RO records during the data migration from AIMS to IRIS?
Yes, the data migration has involved data enrichment. The team manually edited some RO records, such as removing unnecessary commas in author names, editing garbled texts, linking internal author records, and adding publication IDs. If the publications are indexed in Scopus, the corresponding records are updated and enriched by the Scopus version.
Please note that AIMS RO records include two data fields for authors' names: All Author(s) List and Input CUHK Associated Author(s). The team is still handling almost 10,000 records and manually merging their author fields into one.
Why isn’t the number of ROs in my IRIS account the same as my AIMS account?
The differences may be due to various reasons:
- Draft records in AIMS were not migrated to IRIS.
- The journal editor subtype in AIMS has been recategorized as the "Activities" content type in IRIS. Therefore, journal editor records were migrated to Activities rather than RO.
- If the publications are indexed in Scopus, the corresponding records are updated and enriched by the Scopus version. If your co-author did not add you to an AIMS RO record, the Scopus update may add you back to the IRIS RO record.
Why are a few external authors missing in my RO records?
AIMS RO records include two data fields for authors' names: (1) All Author(s) List and (2) Input CUHK Associated Author(s). The computer program could not merge the two data fields for all RO records due to various reasons. The IRIS project team is still handling almost 10,000 records and manually adding external authors to the author list.

Can I delegate someone to manage my profile?
You can delegate a “Trusted user” from the CUHK to manage your researcher profile. The “Trusted User” can assume control of your account and perform all the tasks you can in IRIS. Click HERE for the user guide.
Should I upload the full-text file of my RO?
Uploading the full text of your RO is not mandatory, but you are welcome to do so. The Library will check the copyright and remove the full text if needed. Click HERE for the user guide.
